Health Guidelines for Participants

These guidelines are aimed at ensuring participant safety, well-being, and enjoyment. Participants are required to maintain good hygiene practices and must only participate in events when healthy and non-contagious, to prevent the spread of disease and infections.

Participants who opt to participate in a strenuous event, should be capable of doing so. Ensure that you are not under medical care for any health-related problems that could impact your ability to enjoy and participate in strenuous events.

In the event of a local outbreak of disease, NVSO will follow the guidelines set by the CDC, the Commonwealth of Virginia, the local jurisdiction and the venue itself, that are in place at the time of the event. Participants are expected to follow the CDC health protocol established to address the outbreak.

Medals Policy

Medals will be awarded to the 1st, 2nd and 3rd place winners. In case of a tie, two medals will be given, except in some events where ties will be played off.

Medals will be awarded on the day of the event. If you are unable to receive your medal(s) then, you may pick it/them up at Audrey Moore RECenter on Saturday, Oct. 18 between 10 am - 12 pm only.

Medals will NOT be mailed or delivered.

Cancellation Policy

If an event is not held on the originally scheduled date because of: a) insufficient enrollment or b) the NVSO or the venue management determines that the venue is not available for the event on that day (e.g., because of inclement weather or health concerns), the event may be rescheduled or cancelled.

Participants will be notified (by email and on the NVSO website) at least the day before the event was scheduled, and alerted if rescheduling is or is not possible.

If rescheduling is possible, a makeup date will be indicated in the events’ schedule.

If the event cannot be held on the makeup date, the event will be cancelled. Events that cannot be held on the day they were scheduled and that cannot be rescheduled, will be cancelled.

Refund Policy

A refund may be requested: a) for medical reasons, or b) if an event is cancelled and that event is the only event a participant has registered for. However, if that sole event is cancelled for reasons beyond the control of NVSO (e.g., because of inclement weather), no refund will be made.

A request for refund for medical reasons must be submitted prior to the end of registration period.

Requests for a refund should be sent to nvso1982@gmail.com.

Registration for additional event(s) after you are registered.

Requests made to Event Directors at a venue, to enroll and participate in additional events that you did not check off when you previously registered online, will be handled on a case-by-case basis, with a decision left to the discretion of the Event Director.
